1. Acceptance of Terms
By accessing or using MedNotes ("the Software"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, you must not use the Software.
2. Description of Service
MedNotes is an AI-assisted clinical documentation platform that:
- Transcribes physician-patient encounters via speech recognition (Arabic, English, and bilingual code-switching)
- Refines transcriptions using a Clinical Transcription Refiner that corrects phonetic medical terminology errors
- Processes uploaded medical documents (lab reports, imaging, clinical notes)
- Synthesizes structured clinical notes (SOAP format) using AI models
- Generates clinical advisories and safety alerts
- Exports documentation in PDF and FHIR R4 formats
MedNotes is a clinical decision-support tool. It does NOT replace physician judgment.
3. License Grant
Subject to these Terms and a valid license key:
- You are granted a non-exclusive, non-transferable, revocable license to use MedNotes
- License keys are per-seat, per-institution
- Redistribution, reverse engineering, or modification is prohibited
- Your license may be suspended or revoked for violation of these Terms
4. Subscription Plans & Billing
4.1 Plans
Starter
Individual physician. Single-seat license with full clinical features.
Professional
Clinics. Up to 5 seats with priority support and admin dashboard.
Enterprise
Hospitals. Unlimited seats, custom SLA, dedicated onboarding.
4.2 Free Trial
- New users may receive a 14-day free trial with full Starter features
- Trial keys are limited to one per email address
- No payment information is required
- Trial access ends automatically after 14 days
4.3 Payment Terms
- Subscriptions are billed monthly or annually in advance
- All fees are non-refundable except as required by law
- We reserve the right to change pricing with 30 days' notice
5. AI-Generated Content Disclaimer
IMPORTANT: All AI-generated clinical notes, advisories, and analyses are SUGGESTIONS only. The attending physician is solely responsible for reviewing, editing, and approving all documentation.
6. Data Privacy
- Session-Only Processing: Data processed in-memory only
- No PHI Persistence: Patient data is NOT stored after session end
- AI Provider: HIPAA-compliant Azure OpenAI with BAA

7. User Responsibilities
- Maintain the confidentiality of your license key
- Review all AI-generated content before clinical use
- Verify all Clinical Transcription Refiner corrections
- Comply with applicable healthcare regulations (HIPAA, local laws)
- Report any security incidents immediately
8. Prohibited Uses
- Autonomous clinical decisions without physician review
- Uploading non-clinical content
- Circumventing license restrictions or security controls
- Reverse engineering or decompiling any part of MedNotes
- Sharing or reselling license keys
9. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW: MedNotes is provided "AS IS" without warranties. Total liability shall not exceed the amount paid for the license in the preceding 12 months.
10. Governing Law
These Terms are governed by the laws of the Hashemite Kingdom of Jordan. Disputes shall be resolved in the courts of Amman, Jordan.
